As we move towards revamping our billing module in order to reduce manual intervention, as counter-intuitive it might sound, we have to cover paper trip-sheet cases to ensure 100% coverage. This data entry module is linked to MIS routing module so that billing server already has all trip data and very minimal (just entering trip id) manual intervention is required in most cases. This feature also provide an audit of manual data entry to bring in greater transparency in this process.

Manual data entry
Data entry operator sees two tabs: Planned trip and ad hoc trips.
Planned trips
Default tab will be for planned trip. Data entry operator enters a trip ID into search box and hit enter, he gets the planned trip information in respective data fields in following screen.
Here data entry operator can:
- Edit the vehicle number. other associated vehicle details will automatically update.
- Add an ad-hoc employee
- Edit sign in - sign out time
- Mark travellers as no-show
- Edit marshal details
- Edit AC/Non-AC
- Enter empty Kms, Occupied Kms or Zone
- Add additional comments
Click on “Submit” button to save all the details of the trip. If you wish to revert back to previously saved (submitted) trips details, click on “Reset” button.
Adhoc trips
For ad-hoc trips, system will show an empty template in which all the required information about the trip needs to be filled.
An new trip ID will generate once data is submitted.
Data entry dashboard
Using this dashboard, data entry supervisor (or equivalent role) can see
- how many planned paper trips are done for a given date.
- data for how many planned trips have been entered, approved or rejected.
This page will be used by the data entry supervisor. This screen shows all manually added trips with all changed fields highlighted in red.
Using the filters at the top of page user can:
- Select trips with deviation only, without deviation, ad hoc trips
- Select a date range
- Search by trip ID, vendor id, Vehicle ID etc.
Summary tab at the last column of the row, will show a summary of trip details along with the data entry operator’s comments, if any. This will help data entry supervisor to validate/reject manually added trips.
At the bottom of page there is reject/validate button. Data entry supervisor can select multiple trips at once (e.g. all trips without any deviation)
Download Reports
Data entry supervisor can download manual data entry reports at trip level and also at request level for selected date range.
