Back to Back trips (Beta)

B2B - Introduction

A back to back trip definition is restricted to employee logout trip followed by employee login trip.

Marking Back-2-Back trips as and when these are generated and then allocating these to vendors - is a key cost saving proposition for transport team and for MIS in turn. There is significant latent cost saving potential in this regard. Wipro - who is one the more cost-conscious client currently operate at 4% B2B trips. With this feature in place, we are expecting to enhance B2B by 10%-12% (of course it is subjective to lot of external factors, like company policy, B2B parameters etc.)

Auto pickup/drop SMS

No more sending the pickup/drop SMS manually. MoveInSync now enables you to automate this. The delivery status is visible on the routing dashboard, where you can track the success rate and get a list of employees for whom the SMS was not sent. You can then simply download the report and send it through manual sms interface.

Business unit

A business unit has been added similar to cost center. A list of Business units can be created and maintained by the site admin. Thereafter, employees can be associated with the business unit. One employee can be associated with only one business unit.

Using this association, reports can be generated at the business unit level. Following reports will contain the business unit information:

  1. BA raw data.
  2. Cost centre employee wise breakup.
  3. Employee Info report.

Adhoc Scheduling Requests

There are instances where employee wants to schedule himself for a shift that has already passed shift cutoff. In the current scenario, this is not allowed, however, this is a frequent practical scenario. MoveInSync has released the adhoc request feature that allows employee and SPOC to place transport requests for shift trips even after the shift cutoff. When an adhoc request is raised, a notification is sent to the transport team. Below are more details on this feature.

Auto Sign-off: Multi-Office scenario

In case of multi-office scenario, it is possible to have auto-sign-offs in case of planned employee sign-ins. For ad-hoc employee sign-ins - i.e. those employees who sign-in on a cab where they were not planned for in the tripsheet, the device does not know which destination the employee is headed to and so cannot create a geofence around a location to automatically sign-off the employee.

The solution to this is to ask employees for their destination at the time of sign-in. However, with that employees are forced to make a selection every time they sign-in, whereas in vast majority of the cases, employees head to the same destinations every day and only sometimes need to change their destination.

Reporting Manager

MoveInSync tool now allows an Employee to have a Reporting Manager associated with him/her. This is in addition to an employee being part of a project team and having multiple SPOCs/team managers for the same.

The reporting manager for an employee will have the same privileges as available to SPOCs.
  1. View the employees reporting to them
  2. Create schedules for the employees reporting to them
  3. Edit/Cancel schedules for the employee reporting to them
  4. Update profile page of the employees reporting to them
  5. Receive notifications from ETS related to the employees reporting to them

Employee App - Android, iOS and Windows Phone

Employees can now manage their commuting needs using the MoveInSync mobile application (app). The app allows employees to -

  1. Raise panic alarms during trip from touch of a button
  2. Track the cab in real time once a trip starts
  3. View the shift schedule for coming week
  4. Reschedule cab requirements if they have a change of plans
  5. Cancel cab requirements if they don't need transportation for a shift

And we understand that not every organization would want to enable all these features to their employees. So we have kept the application feature set configuration completely in the hands of the employer organizations! You get to decide which features are made available for your employees by switching on/off parameters at any time. So, yes, you may change your mind and change what becomes available or unavailable to your employees!

The application is available for download from the app stores of all the major phone platforms -

Posters - Mobile App for Employees - Android, iOS and Windows Phone

Below are some poster designs to be put up in the employee pick-up areas in office.

Distance Calculation In Case of GPS Loss (Billing)

We depend on the location data sent by the cab to track it in real time and find out the distance traveled/route followed once the trip is complete. In order to get the location from the cab, we rely on the GPS location received by the cab.

New Billing : Data Entry Module

As we move towards revamping our billing module in order to reduce manual intervention, as counter-intuitive it might sound, we have to cover paper trip-sheet cases to ensure 100% coverage. This data entry module is linked to MIS routing module so that billing server already has all trip data and very minimal (just entering trip id) manual intervention is required in most cases. This feature also provide an audit of manual data entry to bring in greater transparency in this process.

Reimbursment for external transport

If employee is not provided transportation for scheduled trip (it may be because of vendor failure as well), Organizations may issue a token to employee. Employee then avails cab/transportation on their own and can claim amount against this token. Through this feature:

  • THD (Transport Help Desk) should be able to generate tokens.
  • Employee should be able to apply for reimbursing token (Token approval).
  • Designated person (in transport team, transport manager role) should be able to verify and approve claim amount.

Shuttle/Bus Routing

Shuttle is a trip on fixed route (Vehicle tracing a fixed and well defined path similar to BMTC buses) for a given shift time. With increasing trend in the adoption and use of shuttles, this features gives a critical boost to your operations. With this feature, transport team can

  1. Add/Modify Shuttle Routes
  2. Add/Modify Shuttle Stop points and associate employees with it
  3. Reduce manual effort while routes and pick up time are fixed
  4. Move employees between normal cab routes and shuttle routes

  1. The vendor supervisor is able to assign cabs to routes through a new section called “Allocate cabs”.
  2. Vendor is able to self-download the vendor tracksheet.
  3. Vendor is able to track own cabs.

Driver: Click to Call

At various points in the pick-up journey, driver and employee communication is critical for an efficient and anxiety free commute. Some of the key situations where driver may want to contact the employee –
  1. Last mile directions
  2. Cab has arrived
  3. Wait time exceeded

However, from employee safety standpoint, organizations are often worried about passing the employee phone numbers to the drivers – at-least of the female employees. In current scenario, organizations either completely restrict the driver employee communication or only pass the numbers for the male employees.

Both of these approaches have problems. In the first case, drivers and employees call the Transport Help Desk (THD) for all information needs – and with so many cabs on the road at the same time picking employees from all over the city, an overburdened THD employee is put in the tough role of ensuring quality and timeliness of communication. Also, in cases where drivers have the numbers of the employees, there is a reluctance to call as the calls cost the driver.
